REGISTRATION AND FEES

Registration will be carried out online using the Conftool conference registration system (https://www.conftool.org/etc2026/). Before submitting a paper or paying a fee, you need to register in the ConfTool as a user. The user registration in the Conftool opens on 1st September 2025 and closes on 21st September 2025.

All payments will be made by bank transfer. After submitting your paper or the conference registration form, you will find the information about the bank account details to make the respective payment. Do not forget to fill in the reason for the transfer box as specified in the payment details; it will help identify your payment.

After the payment, you have to send a copy of the bank transfer receipt to the e-mail address: info.etc2026@pedf.cuni.cz to complete the payment process. The subject of this e-mail: Bank transfer receipt.

Transaction fees may be applied and will always be paid by the participant.

The full-registration fee includes: Welcome Reception, Coffee Breaks, Lunch on Thursday and Friday, and Excursion. 

For early career researchers registered for Early Career Activities, the full-registration fee also includes Early Career Pre-Session on Wednesday, Lunch on Wednesday, and Early Career Post-Session on Saturday.

Which fee to pay and when?

When submitting a paper, the payment of the 50 euro pre-registration fee is mandatory. This fee must be paid by the submitting author of the paper. Co-authors do not pay this pre-registration fee. The submission of the paper is only valid after the pre-registration fee payment has been received to the conference bank account. If the payment is not received by 26th September 2025, the paper will not be considered. The 50 euro pre-registration fee payment is non-refundable, even if the submission is withdrawn or rejected.

Once the paper is accepted, the submitting author will be allowed to register as a conference participant; this registration closes on 10th December 2025. After submitting the conference registration form in Conftool, they will be requested to pay the rest of the full-registration fee, that is 300 euro. (The pre-registration fee payment will be taken as a partial payment of the full-registration fee.) The acceptance of the paper is only valid after the rest of the full-registration fee payment has been received to the conference bank account. If the payment is not received by 17th December 2025, the paper will not be included in the proceedings and will not be allowed to be presented at the conference.

In case a submitting author with a paper accepted and included in the proceedings cannot come to the conference, they can nominate a designated substitute from among other authors of the paper to come to the conference and present the paper. The submitting author will inform the organisers about the name and contact details of their designated substitute by writing to the Conference Secretariat (info.etc2026@pedf.cuni.cz). The designated substitute will then have a user account made in the Conftool and will receive an e-mail with an invitation code that would allow them to register as a conference participant. The pre-registration fee paid for the given paper will be considered a partial payment of the full-registration fee of the designated substitute. For the submitting author not attending the conference, the cancellation policy applies.

We expect to have about 80 participants at the conference. Only submitting authors of accepted papers (or their designated substitute from among other authors of the paper) are guaranteed to attend the conference.

The number of participants who are not submitting authors will be limited; it will depend on the capacity of the venue and the number of papers accepted. Authors will be given priority over non-authors but a maximum of two authors per accepted paper will participate in the conference. Those interested in attending the conference will register as users in the Conftool (https://www.conftool.org/etc2026/); the user registration closes on 19th September 2025. The decision on non-submitting authors and non-authors allowed to register as conference participants will be made by the organisers by 3rd December 2025. Those approved will then receive an e-mail with an invitation code that would allow them to register as a conference participant.

Conference participants who are not submitting authors will pay the 350 euro full-registration fee

Cancellation policy: We understand that circumstances change, and potential issues may arise. Therefore, we offer a cancellation of the registration that must be made in writing to the Conference Secretariat (info.etc2026@pedf.cuni.cz). If a cancellation is received before or on 30th December 2025, the amount paid during conference registration, minus 70 euro for handling charges, will be refunded. The preregistration payment is non-refundable. After this date, or if registrants fail to attend the conference for any reason whatsoever, regrettably no refund will be granted. If, for reasons beyond the control of the organisers, the conference is cancelled, the amount paid during conference registration will be refunded after deduction of expenses incurred by the conference.
